We process personal data in order to organize the Munich Quantum Software Forum, manage registrations, provide tickets, process payments, inform participants about organizational matters and conduct the event on site.
3. Registration and Ticket Purchase via Eventbrite
For registration and ticket management, we use Eventbrite. In the context of registration, the following data in particular may be processed:

Organization or company
Position/function, if requested
Ticket category
Billing and payment information
Registration status
Any other information requested in the registration form
The processing is carried out for the purpose of registration, ticket provision, payment processing, invoicing, participant management, and conducting the event.
The legal basis is Article 6(1)(b) GDPR, insofar as the processing is necessary for the performance of the participation agreement or for the implementation of pre-contractual measures. Insofar as we are legally obliged to retain certain data, the processing is based on Article 6(1)(c) GDPR.
Eventbrite processes certain personal data in connection with the provision of the registration and ticketing platform. Depending on the processing, Eventbrite may act as our processor or as a separate controller. 4. Payment Processing
As this is a paid event, the payment and billing data required for payment processing are processed. Payment processing is carried out via Eventbrite or the payment service providers engaged by Eventbrite.
As a rule, we receive only the payment and billing information that is required for managing the registration, invoicing and statutory documentation.
The legal basis is Article 6(1)(b) GDPR and, insofar as statutory retention obligations exist, Article 6(1)(c) GDPR.
5. Event Communication
We use the email address provided during registration to send you organizational information about the event. This may include, in particular, information about the program, schedule, venue, check-in, changes, materials and event-related follow-up communication.
The legal basis is Article 6(1)(b) GDPR, insofar as the communication is necessary for conducting the event. In addition, the processing may be based on Article 6(1)(f) GDPR. Our legitimate interest lies in the efficient organization and implementation of the event.
6. On-site Check-in and Participant Management
During check-in, your name, organization, ticket status and, where applicable, your attendance may be processed. This serves to control access, manage participants and properly conduct the event.
The legal basis is Article 6(1)(b) GDPR and Article 6(1)(f) GDPR. Our legitimate interest lies in the safe and orderly implementation of the event.
7. Disclosure of Contact Details to Sponsors Only with Consent
In connection with the Munich Quantum Software Forum, we work with sponsors. Your contact details will only be disclosed to sponsors if you have expressly consented to this during registration.
If you consent, the following data may be disclosed to the sponsors listed in the sponsor list: Name, Organization or company, Email address, Position/function, if provided in the registration form.
The sponsors may use this data to contact you in connection with the Munich Quantum Software Forum, their services, possible cooperation opportunities or professionally relevant information.
The legal basis for the disclosure is your consent pursuant to Article 6(1)(a) GDPR.
Consent is voluntary. Participation in the event does not depend on whether you consent to the disclosure of your data to sponsors. You may withdraw consent that has been granted at any time with effect for the future, for example by email to contact@mq.sc. The lawfulness of the processing carried out before withdrawal remains unaffected.

8. Photographs and Video Recordings
Photographs and video recordings may be taken during the event in order to report on the Munich Quantum Software Forum, its content and the event. The recordings may be used in particular on our website, in social media, in presentations or in other public relations activities.
We take care to appropriately consider the legitimate interests and personal rights of participants. If you do not wish to be photographed or filmed, you may contact us or the event team on site at any time.
The legal basis is Article 6(1)(f) GDPR. Our legitimate interest lies in documenting and promoting the event. If consent is required in an individual case, we will obtain it separately.
9. Recipients of Personal Data
In connection with the event, personal data may in particular be transmitted to the following recipients:
Eventbrite as the registration and ticketing platform
Payment service providers, insofar as required for payment processing
IT and hosting service providers
Internal and external persons involved in organizing the event
Sponsors, provided that you have expressly consented
Tax advisers, authorities or other bodies, insofar as there is a legal obligation
Insofar as service providers process personal data on our behalf, we conclude, where required, data processing agreements pursuant to Article 28 GDPR.
10. Transfers to Third Countries
When using Eventbrite and, where applicable, other service providers, the transfer of personal data to countries outside the European Union or the European Economic Area cannot be ruled out. In such cases, we ensure that the data protection requirements provided for this purpose are complied with.

11. Storage Period
We store personal data only for as long as this is required for the organization, implementation, and follow-up of the event.
Registration and communication data will be deleted or anonymized after completion of the event, unless statutory retention obligations or legitimate interests in further storage exist.
If, as part of the registration, you have expressly consented to our informing you after the event about the next Munich Quantum Software Forum or technically related MQSC events, we will continue to store and use the contact details required for this purpose, in particular your name, organization, and email address, for this purpose. The legal basis is your consent pursuant to Article 6(1)(a) GDPR.
